Prepare documents for an online application
Organise photos and PDFs for an online application with clear pages, the right file sizes and a final check before you submit.
The goal is a submission the recipient can open and read in the form they requested. A smaller PDF isn’t an improvement if an important number becomes illegible or the pages appear in the wrong order. Start with the application instructions then prepare a copy of each required document.
Make a small requirements list
Write down each upload slot and its accepted file types. Include any size limit and page limit. If the form separates proof of address from another document then keep those files separate unless it explicitly tells you otherwise.
Keep original files in one folder and finished submission copies in another. Use names that identify the document without exposing unnecessary personal details in the filename. A reference number belongs in the name only when the service requests it.
Turn photographs into readable pages
If a document exists only as photos then check the photos before making a PDF. Each page should be complete and upright with readable small text. Retake a blurred image instead of hoping compression or conversion will sharpen it.
Use Image to PDF to assemble the images. Inspect their sequence carefully. Photographing page two before page one doesn’t make that order appropriate for the finished document.
For existing PDF material use Merge PDF when the application asks for one combined file. Keep the originals because some edits can affect document features beyond the visible page image.
Put the pages in a useful order
Open the combined file and compare it with the requested document sequence. Use Reorder PDF Pages if needed. Remove accidental blank scans only after checking that they aren’t intentional separators or required pages.
A sideways page can be readable after rotating your head but it creates unnecessary work for the reviewer. Rotate PDF saves an adjusted page orientation. Reopen the exported file to check that the change was saved rather than only applied to a viewer preview.
Meet the size limit without sacrificing evidence
If the file exceeds the limit then try Compress PDF. Compare the output with the original at a normal reading size and zoom into small reference numbers. A stamped date that disappears under compression may be more important than the rest of the page.
Image-heavy scans usually offer different compression opportunities from text-based PDFs. If you can’t reach the target while keeping the document readable then look for the service’s alternative submission instructions. Don’t remove required pages merely to pass a file-size check.
Review what the form actually received
Select each finished file through the site’s upload control. Check the displayed filename and preview where available. A previous file can remain selected even after you’ve created a better version in another folder.
Before submitting confirm that the files belong in the correct slots and that no unrelated page is attached. After submission keep the confirmation or reference number with your final copies. If the service later asks for a correction you’ll know exactly what you sent.
