What happens when someone scans it
Scanning an email code opens the phone's default mail app with a new message already addressed and with the subject and body you chose filled in. The person reviews it, adds anything they want and presses send themselves. Nothing is sent automatically: the code prepares a draft, which is exactly what makes it acceptable to people who are cautious about scanning.
It depends on a mail app being set up
An email code hands the message to whichever mail app the phone treats as default. Plenty of people read email only in a browser or have the default app installed but never signed in and for them the scan opens an empty setup screen. Print the address in plain text next to the code so those people can still reach you.
Good uses for an email code
Feedback cards on restaurant tables, a support address on a product’s packaging, a booking request on a poster, a “report a problem” sticker on shared equipment. In each case the subject line does real work: it tells you where the message came from without anyone having to explain.
Put something identifying in the subject, such as “Feedback: table card” or “Fault report: printer 2” and the messages sort themselves.
Keeping the body short
The body is written into the code and long text makes the code dense. A prompt works better than a finished paragraph: “What went well and what could be better?” gives people a starting point and leaves the code easy to scan.
Line breaks are supported and appear as separate lines in the draft.
Privacy
The address, subject and body are all visible to anyone who scans the code with a reader that shows raw contents, including this site’s scanner. Don’t put anything in the pre-filled text that shouldn’t be public.
Checking the draft
Scan the finished code with your own phone and look at the draft it opens. The subject and body should appear exactly as typed, with no stray percent signs or codes, which is what happens when a generator forgets to encode spaces and punctuation.
Common questions
Can the code send the email automatically?
No and no QR code can. The code opens a draft with the fields filled in and the person scanning it has to press send. That is a deliberate safeguard in every phone operating system and it means people see exactly what they’re sending.
Can I add an attachment?
No. The mailto format that email codes use only supports the recipient, subject, body and copy addresses. Ask people to attach something themselves in the body text if you need a photo or document from them.
Can I send to more than one address?
Yes, separate addresses with commas in the Send to field. Most mail apps accept that, though a few older ones only take the first address. For a team inbox a single shared address is more reliable.
Why use this rather than a link to a contact form?
A form needs a page, a server and something to receive the submissions. An email code needs nothing but an inbox and replies arrive in a thread you can answer directly. For small volumes it is simpler and the pre-filled subject line makes the messages easy to filter.
